Link Shift4 Dine Customer Hub Users with Employee Records in Workforce Management

Description: Learn how to link duplicate Shift4 Dine Customer Hub user and employee accounts in Workforce Management so that each person has a single, unified profile.

Some employees have a ‘user’ account and an ‘employee’ account in the Customer Hub, both synced to Workforce Management. This tool allows you to link these accounts together so that they only have one account in Workforce Management.

Note: This procedure makes a Customer Hub user into an administrator in Workforce Management. It does not change an existing employee listed in the Workforce Management section of the Customer Hub.

Permission requirements: Administrator access OR Manager-level access and the ‘Manage company employees and employee profiles’ sub-permission.

Follow the steps below to complete the process of linking employee records.

Link Customer Hub

1. Navigate to Employees within Workforce Management.
2. Select the icon to the left of the + Add employee button.
3. Select the Link Customer Hub accounts option.

Link Customer Hub Accounts Modal

The Link Customer Hub Accounts modal will appear as shown.

• The left column displays a list of all Customer Hub user records that have not yet been linked to a Customer Hub employee record within Workforce.
• The middle column displays a list of all Customer Hub employee records that are not linked to any Customer Hub user accounts. Click on this field to find and select the employee you wish to match to the user account.
• Sometimes there may be multiple employee records with the same or similar names, so you may be unsure which employee record is the correct one to link to. Select Show Details to view more information about both the User account and the Employee account you have selected.

When you have finished linking user accounts with their matching employee account, select the Save button.

Notes:

• Workforce will attempt to auto-link accounts where possible (i.e., where accounts have the same email address/phone number). Only accounts that have not been matched will appear in this tool.
• You cannot view already linked accounts, nor can you unlink accounts using this tool. This must be done by raising a support ticket.
• If there are no unlinked accounts, a default screen will appear in place of this view.
