Description: Hierarchies on SkyTab Business Intelligence (STBI) enable you to establish structured levels that align with your corporate reporting needs.
Set up Hierarchies
STBI has three levels of hierarchy available. You could have a hierarchy as follows:
- Hierarchy Level 1 would be the District Managers
- Hierarchy Level 2 could be the Regional Managers
- Hierarchy Level 3 could be the Director of Operations.
Stores will be assigned to the District Managers, District Managers will be given to Regional Managers, and Regional Managers will be given to the Director of Operations.
To access the hierarchy setup, select the Settings icon in the upper right corner of the window, then Hierarchies.
When you select Hierarchies, the following screen appears:
To set up a hierarchy, you must put the parent directories first. As an example, set up a hierarchy with two levels. You would name Level 2 first because it is the parent of Level 1.
- Select New Level 2, enter the Level Name Callahan, and select the Add button. Level 2 is saved.
- The screen displays Level 2 (Callahan) in bold. Select the + New Level 1 link to the right of Callahan to add the District Manager name (Johnson) and select the Add button.
- Select + New Level 1 link to the right of Callahan to add another District Manager name (Fisher) and select the Add button. The screen will now look like this with two District Managers:
As you can see, Callahan is the Director of Operations, and the two District Managers are underneath. Now, assign the locations to the District Managers.
Note: A location can only have one parent.
To assign the locations:
- Select the Settings icon in the top right corner and select Locations.
- Select the Edit link for each location.
- On the Edit Location window, select the dropdown for Hierarchy Level 1.
- Select the District Manager and select the Update button. Repeat this process for each location.
- When you select "Update," you can view your hierarchy with the District Managers, and Callahan has access to all the locations.
Now that your hierarchies are programmed, we will look at how to use them in a report.
As you can see in the image above, Fisher is the District Manager for Atlanta and Gainesville. Let's open up a Sales Summary report and review the hierarchy reporting. In the Sales Summary report, select the dropdown for Group By and select Hierarchy Level 1.
Now, select the Fisher row and drill to locations to see which are assigned to Fisher.
Here you see the two District Managers, Fisher and Johnson.
Select the row for Fisher and drill to locations to see which are assigned to Fisher.
Here are the locations for Fisher. You can see Atlanta and Gainesville belong to Fisher.
Delete a Hierarchy
If someone has left the company and you need to delete them from the hierarchy, follow these steps:
- In Settings, select Hierarchies, then the name you wish to delete.
- Select the Delete button at the bottom of the edit window that pops up on the right side of the screen.
- A message appears confirming that you want to delete this level. Select Yes.
Fisher is no longer listed in the hierarchy.
