Emailing an Invoice
There are multiple ways to email an invoice, whether at the time of creation or later, from the Invoices Dashboard or Invoice Details page.
Sending an Invoice During Creation
When creating a new invoice, check the Send Email box before selecting Save to automatically email the invoice to the customer using the default email template.
Sending an Invoice from the Invoices Dashboard
To send an invoice later:
- Locate the invoice in the Invoices Dashboard.
- Select the Action dropdown and select Email.
For bulk emailing:
- Select multiple invoices by checking their boxes.
- Select the Batch Actions dropdown at the top.
- Choose Email Selected to send all selected invoices at once.
Note: Bulk emails use the default email template and cannot be customized before sending.
Sending an Invoice from the Invoice Details Page
- Select any blue-highlighted invoice number to open the invoice.
- In the top-right corner, select Email Invoice to open the email template.
Customizing the Email
The email template includes:
- Email To: Auto-populated with the customer's email, but you can edit it or add multiple recipients.
- Reply-To Email: Set an email address for customer replies.
- Add CC/BCC: Add additional recipients as needed.
- Attach PDF: Toggle to include the invoice as a PDF attachment.
- From Email Address & Display Name: Define sender details for recognition.
- Email Subject: Defaults to include the invoice number and merchant name, but can be edited before sending.
-
Email Body: A customizable message with invoice details, a click-to-pay link, and merchant contact information.
The system provides a default email template, but you can modify the text before sending it. To personalize emails efficiently, use variables such as:
-
{customer.name}
– Inserts the customer's name. -
{invoice.balance}
– Displays the invoice balance. -
{merchant.name}
– Adds the merchant's name.
Select Send Email once all details have been entered and reviewed. The customer will receive the invoice with a direct link to the payment portal, where they can securely complete their payment.
Resending an Invoice
To resend an invoice, go to the Invoice Details page and select Email Invoice again.
For further email customization options, refer to the General Settings page under Account Information.
