Description: The Shift4 Portal allows you to access a variety of gift card program reports to track transactions, monitor outstanding liabilities, and measure overall program performance. Reports can be filtered, customized, and exported in multiple formats to support your operational and financial needs.
Accessing Reports
To access reports in the Shift4 Portal:
- Navigate to Gift Card Program > Reports.
- Select the report type you want to run.
- Apply your desired filters and date range.
- Choose your preferred report format and delivery method.
Common Reports
The List of Transactions report allows you to view all gift card activity within a selected date range.
You can define the reporting period, filter by one or multiple store locations, and refine results based on transaction criteria. The report layout can also be customized to display the details most relevant to your needs.
This report is commonly used for reconciliation, transaction research, and reviewing gift card activity across locations.
Liability Report
The Liability Report shows the total value of gift cards that are still outstanding at a specific point in time. In other words, it reflects how much money is currently tied up in active or valid gift cards that have not yet been fully redeemed.
The report includes:
- Active gift cards
- Promotional cards issued before the selected date that are still valid
Balances are calculated based on all activity on each card, even if the card was used at a different store location.
You can also filter the report to focus only on cards with balances above a selected amount.
Viewing Options
The Liability Report can be viewed in two formats:
Summary View: Displays total outstanding balances at the merchant level.
Detail View: Displays individual card-level information, including:
- Activation date
- Last use date
- Remaining balance
By default, expired, cancelled, or inactive cards are excluded unless you choose to include them in the report settings.
Transactions Report
The Transactions Report provides a summary of:
- Total activations
- Redemptions
- Increments
- Adjustments
Running this report regularly can help you:
- Calculate redemption rates
- Measure increment activity
- Estimate potential breakage
- Evaluate overall program performance
