Description: Utilize and manage your employees’ time clock, including Labor Settings, Employee Timeclock functionality, and Timeclock Management from both the POS and Lighthouse BMS perspectives.
For more information regarding creating and editing employees, visit the User Settings article.
Business Labor Settings
The labor settings of the business depend on the employer’s state. They can be configured by navigating to Manager > Settings > Business > Labor.
- Pay Period (Start of Week): Designate when the pay period begins and ends
- Pay Period Type: Weekly, Biweekly, or Monthly
- Breaks: Determine if breaks are paid or unpaid
- Minimum Wage: Set the minimum wage rate
- Overtime Rules: Determine how to calculate overtime
- Daily Overtime Thresholds (Hours): Determine the daily threshold in hours before overtime occurs
- Weekly Overtime Thresholds (Hours): Determine the weekly threshold in hours before overtime occurs
- Overtime Multipliers: What the base rate is multiplied by to determine overtime
Employee Labor Settings
To edit Labor Settings:
- Navigate to Manager > Settings > Users > Employees > Details.
- Health Card Exp: Designate the date on which the employee’s health insurance expires
- Liquor Card Exp: Designate the date on which the employee’s liquor permit expires
- Dates: Enter a list of all the important dates, which gives the user the ability to add, assign type, edit, and remove options such as Date hired, Termination Date, or Review date
- Track Labor: When activated, the system tracks employee hours on their activity on the Shift Report; this enables the user's ability to clock in or out; if turned off, they can't access this functionality
- Paid Hourly: Specify whether or not the employee is salaried; even if this is deactivated, the manager still has the option to track hours worked and overtime
- Record Breaks: Include the employee’s breaks on their Shift Report; Track Labor is a prerequisite for this
- Card Only Access: If a Mag Card was set up on the General tab for this employee, it determines if a user is required to log in to the system using their assigned Mag card.
- Set up an appropriate pay rate for each Job by navigating to Manager > Settings > Users > Jobs.
- Select a job and add a Base Pay value.
Important: Failing to add Base Pay populates incorrect data in payroll and labor reports.
Clocking In/Clocking Out
If an employee has multiple jobs attached to their profile, the system prompts them to select a Job. Have your employee select the desired job from the list, which determines their pay rate.
If set up on the system, employees can take a break by navigating to their dashboard and selecting Go On Break.
They may then select Return From Break when their break is over and Clock Out at the end of their shift.
Important: Failing to Clock Out at the end of the shift produces incorrect labor reporting data.
Timeclock Management
Timeclock management on the POS system is a convenient way to make small adjustments while Lighthouse BMS is recommended for completing payroll as it has more adjustment capabilities than the POS.
POS
To access the Timeclock management on the POS:
- Navigate to Manager > Timeclock. This allows you to view, add, edit, and remove employee shifts. You can also filter shifts by selecting a new date and time parameter or by selecting one or more employees.
- To add a shift, highlight the employee from the list on the left and select Add Shift. Once the shift populates on the right, you’ll be able to edit their Job, Clocked In time, Clock Out time, Break Total, Cash Tips, and Notes for that shift.

Lighthouse BMS

- New shifts are added by pressing the Create Shift button on the bottom right after all required fields are filled out.

- Press Save to commit the changes.

Payroll and Labor Reporting
You can find all labor and payroll reports both on the POS and Lighthouse BMS. The following reports are most commonly used for payroll reconciliation.
Payroll By Employee
This is one of the most common reports used to do payroll. It has all the necessary information to know exactly how much employees have earned.
Employee Labor Detail
This report is in a similar format to the Timeclock, except it’s read-only. It displays all the shifts worked for the selected period.
Employee Shift Detail
Displays when employees started/ended their shift, tender totals, total payments they have completed, and the tips and gratuities they have earned for the selected period.
Payroll By Employee by Job
Similar to 'Payroll By Employee,' except it sorts by job.
Payroll Export
Similar to 'Payroll By Employee,' except it includes pay rate.
