Description: Learn how deposits and prepayments collected for Future Orders are tracked and how to view them in the Liabilities Report.
Note: This feature is currently available only for Pilot users using Multi-Location Management (Customer Hub). Support for single-location merchants is planned for a future release.
For an overview of how Future Orders work, visit the Future Orders Overview article.
How Future Order Payments Are Tracked
When a customer pays a deposit or pays in full when scheduling a Future Order, the payment is deposited into your bank account as part of your normal settlement process.
Although the funds have been collected, they are not recognized as revenue until the order is fulfilled. Instead, the payment is recorded as a liability until one of the following occurs:
- The order is fulfilled, and the ticket is closed on its scheduled day. The liability is released, and the payment is recognized as revenue.
- The order is canceled, voided, or refunded. The liability is removed.
Note: Bank deposits reflect all collected funds. The Liabilities Report identifies the portion of those funds that is still associated with unfulfilled Future Orders.
Run the Liabilities Report
- Log in to Multi-Location Management and go to Reporting > Reports.
- Under Select a Report, select Liabilities.
- Select a location.
- Select a date range.
- Select Generate.
