Description: Learn how to set up and manage Suites in Appetize Connect, covering Vendor Role creation, configuring Suite vendors, managing items, setting up Suite event types, handling the PreOrder Portal, creating events, and overseeing PreOrders as the Suites Manager.
Note: It is recommended to create at least one separate vendor role for suites rather than cross-sharing a non-suite vs. suite vendor role.
A Vendor Role will need to be created with Suites enabled.
- Log in to Connect and select Options on the left side menu.
- Select Vendor Roles from the Options dropdown and then select Create in the upper right corner.
- Type in the name of the Vendor Role and select Save.
- Once the Vendor Role is created, ensure that the SUITE ENABLED option on the General tab is set to YES.
After the Vendor Role is created, a Suite Vendor can then be created and assigned the new Vendor Role.
Suites vendors must be created for printing purposes. This is where you establish KDS routing to pantries and kitchens.
Note: Menus/items are not associated with suite vendors. They are associated with Event Types.
Setup/Procedure
- Create a Suites Vendor Role that has the flag Suite Enabled set to YES under the General tab.
- Create a Suites Vendor that will be assigned to the Suites Vendor role.
- Create Items that will be available on the Suite menu. Once the item is created, select it from the list to edit for Suite purposes. Set Suite Item is set to YES on the Details tab under Detailed Information for every item that will be available in Suites Pre-Ordering.
- Create Suite Event Type, and set the Enable Suites flag to YES.
- Configure Suites PreOrder Portal Settings. This is the URL entered into the browser Suite Holders use to place PreOrders.
- Create the Suite & Suite Holder Account.
- Add Suite Users.
- Add Suite Menu.
- Add Suite Delivery Schedule.
- Create Suite Event by creating a calendar event and setting the "Event Type" flag to Suites.
- Suite Holders will log in to the Suite PreOrder Portal and complete the Event PreOrder with an attached credit card, which will later be pre-authorized by the Suite Admin prior to the Event.
-
Finally, the Suites Manager can now view PreOrders.
Select Suites > PreOrders. Here, you will find all of the submitted PreOrders. On the below landing page, you can instantly see the Event, Event Date, Suite Number, Account, User, and Payment Method. At the top, you can filter the order dates. You can also select each column header, and an arrow will appear to filter the row alphabetically or numerically. The PreOrder can be downloaded, printed, and pre-authorized. The Event Order Report and Kitchen Production Report by Suite are also available on an individual order.
