Description: Hierarchies on Business Intelligence (BI) enable you to establish structured levels that align with your corporate reporting needs.
Set up Hierarchies
Business Intelligence (BI) has three levels of hierarchy available. For example:
- Hierarchy Level 1: District Managers
- Hierarchy Level 2: Regional Managers
- Hierarchy Level 3: Director of Operations.
Locations are assigned to District Managers, District Managers roll up to Regional Managers, and Regional Managers roll up to the Director of Operations.
Access Hierarchy Setup
- Log in to Business Intelligence.
- Select the Settings icon in the upper-right corner.
- Select Hierarchies.
Create a Hierarchy
Important: Always create the highest (parent) level first.
Example: Create a Two-Level Hierarchy
- Select New Level 2 (parent level).
- Enter the Level Name (example: Callahan).
- Select Add. Level 2 is now saved and appears in bold.
- To add a Level 1 under Callahan, select + New Level 1 to the right of Callahan.
- Enter the Level Name (example: Johnson).
- Select Add.
- Repeat + New Level 1 to add additional names (example: Fisher).
You now have:
- Level 2: Callahan (Director of Operations)
- Level 1: Johnson (District Manager)
- Level 1: Fisher (District Manager)
Assign Locations to a Hierarchy
Note: A location can only have one parent.
- Select the Settings icon in the top right corner.
- Select Locations.
- Select the Edit next to the location you want to update.
- In the Edit Location window, select the dropdown for Hierarchy Level 1.
- Choose the appropriate District Manager.
- Select Update.
- Repeat this process for each location.
Once updated, the hierarchy will reflect the assigned locations.
Use Hierarchies in a Report
- Open a report (example: Sales Summary).
- Select the Group By dropdown.
- Choose Hierarchy Level 1. The report will now group results by District Manager.
- Select a manager’s row (example: Fisher).
- Drill down to view assigned locations.
You will see only the locations assigned to that manager (example: Atlanta and Gainesville under Fisher).
Here you see the two District Managers, Fisher and Johnson.
Select the row for Fisher and drill to locations to see which are assigned to Fisher.
Here are the locations for Fisher. You can see that Atlanta and Gainesville belong to Fisher.
Delete a Hierarchy Level
If someone leaves the company and needs to be removed:
- Select the Settings icon.
- Select Hierarchies.
- Select the name you want to delete.
- In the edit window, select Delete.
- When prompted, select Yes to confirm.
The selected name will be removed from the hierarchy.
