Description: Learn how to enable the starting cash setting. While every business is unique in its needs and requirements, many locations want to have quick and easy methods in place to make accounting as painless as possible. At the end of the day, many businesses want to have cash drawers set up with starting cash for the next day, but have to do extra math to ensure the drawer has been balanced and the proper deposits are being made.
Streamlining Cash Drawer Setup
You can configure your SkyTab POS to maintain the starting cash for each cash drawer without impacting your reports and without having to deposit money each night, only to withdraw that same cash the next day to put back into the cash drawer. When you use the STARTING CASH IS LEFT IN CASH DRAWER setting, your POS will calculate the money you need to remove from the drawer while maintaining your starting cash. For example, if you start the day with $100 in a drawer and you end the day with $150 in the drawer, you would only need to remove $50 to maintain a balanced drawer, which is also reflected in your reports.
Enabling the Starting Cash Setting
Use the following steps to enable the Starting Cash is Left in Cash Drawer Setting:
- Open Manager > Settings > Business > General.
- In the left column of settings, set the toggle STARTING CASH IS LEFT IN CASH DRAWER setting to on.
Note: This will only affect new drawers; it does not impact drawers that are currently open. When possible, it is best to enable this setting prior to the start of the business day. - Tap Save.
When this setting has been enabled, the starting cash will be subtracted from the Cash Expected amount when balancing the drawer.
Affected Reports
Since this setting changes the calculation for Cash Expected, there are several reports in your system which will now reflect the updated setting. In each of the following reports, the Cash Drawer Summary Section will now include a "Cash Left in Drawer" value:
- Store Activity Summary
- Till Activity Summary
- Financial Overview
If the Cash Left in Drawer is ever greater than the actual amount in the drawer, the value will be displayed as $0. For example, if you have Cash Left in Drawer set to $100 and you pay out tips from that drawer, leaving only $95 remaining in the drawer, the value will be displayed as $0.
User Stories:
- Location has 2 cash drawers
- 1 for Bar and 1 for To Go
- I should always have a starting balance of 200$ per shift for the Bar Drawer
- I should always have a starting balance of 100$ per shift for the To Go Drawer
- At end of lunch shift I remove and count down the Bar Drawer
- Expected Cash = 245$ as I had 45$ in cash sales
- Manager takes drawer and takes 45$ in cash out and puts it in the safe
- Counts the drawer to makes sure it's 200$
- IF they are short a 1$ THEN the bartender comes out of pocket to balance it.
- The manager only counts the To Go Drawer at EOD
- Expected Cash = 300$
- They pull 100$ cash out and count drawer to 200$
- The manager counts down the Bar Drawer again at EOD
- Expected cash = 250$ ($200 starting cash and $50 in cash sales)
- They pull 50$ out and count down drawer to 200$
- BOTH drawers go back into the safe for tomorrows shifts
- The expected Deposit (not including tips for clarity's sake)
45$ - Bar Drawer Lunch Shift
100$ - To Go Drawer Entire Day
50$ - Bar Drawer Night Shift
Final Deposit = 195$ and goes to the bank - THE DRAWERS ARE NOT DEPOSITED to the bank and they always remain 200$ for the next shift/day
- Manager prints out a cash summary report for each till record (employee bank or physical cash drawer). They want to make sure that the final deposit field for each cash drawer actually matches the physical money that they are giving to the accountant.
- Manager prints out a store activity summary and wants to make sure that the final deposit field for the entire store for that day is the actual amount of physical money they are depositing into the bank.
Other Information
- Default setting for locations is disabled.
- When setting is enabled:
- Subtract the starting cash amount for the drawer from the cash expected when writing the remove drawer tillTransaction record.
- Remove Drawer tillTransaction = sum of all non-voided till transactions for a tillGuid - starting cash amount. If the expected cash for a tillGuid is less than the starting cash amount in the till, then write the remove drawer tillTransaction with a value of $0.
- When the setting is disabled:
- Do not subtract the starting cash amount for the drawer from the cash expected when writing the remove drawer tillTransaction record.
- Remove Drawer tillTransaction = sum of all non-voided till transactions for a tillGuid.
