Description: Review how to set up “Admin Access” within the QSR Software. This is not to be confused with the Access Level “All Access,” which means you have permissions to all areas of the system. QSR has an additional security feature on top of all permissions called “Admin Access.” Learn more below.
How to Setup an Admin Account
Log in and go to Admin > Config Tools > Staff and check the user's login information by clicking on the Admin Access button found on the right of a user’s employee profile. If the user has never been set up as an Admin before, you will need to create their Admin credentials from this screen.
Here, you can set up a unique Username and Password that this employee will use to log in to the Staff and Permissions screen.
- If you wish to set up a temp password, select Change Password on Next Login.
- The next time this user logs in, they will be prompted to change their password.
Below are requirements that must be configured in an employee profile before you add an Admin User. If any of this information is missing, you may be unable to create the account properly:
- Must contain an Email Address.
- Must contain the SMS Phone Number and SMS Carrier (setup under More Info).
Troubleshooting for Admin Account Access
Below are two errors that could occur when setting up or using the Admin Account Access option:
The Admin Access Button Does Not Show Up
The “Admin Access” button will only show up for an existing employee profile.
- If you are adding a new employee profile for the first time, this button will not be here until the profile has been saved and then re-accessed from the Staff screen.
- Simply exit and save your changes, then re-enter the Employee Edit screen, and you will see the Admin Access button to the right.
“Invalid User Name” – Error when Logging in as Admin User
There may be situations where you are attempting to use their Admin Login to edit your Staff (employee profiles) or Permissions, but you encounter this error:
However, there may be cases where despite checking/confirming the User Name AND resetting the Password, you will still get similar errors when trying to use the Admin credentials to access the employee screen.
The reasoning for this has to do with the PIN being entered on the main screen to access the Admin panel. The PIN used to first access the Admin button must be the PIN attached to the user who is attempting to log in to get to the Staff screen.
In many cases, you will be using either a default PIN, your manager’s, or someone else’s PIN that you may think is your own. If you are getting the error above and have checked everything and cannot fix it, ensure you are using your own PIN.
