Description: Learn how to set up Check Sync, configure Table Service Mode, and use its features like Manager Check Access, Transfer Checks, Combining Checks, Pre-Printing Checks, and Splitting Checks by Seat in Activate.
Prerequisites
- Employee Role Profile Type set to Table Service or Restaurant Modes only. No POS mode
- Android Server Application needed to run for Check Sync
- Classic TSR w/check sync Activate Build 15 or above
- Wizard is required for Modifiers in Table Service Mode
Check Sync Server Application Information
- Stand alone Android device to run Server Application needed. The best practice is a V2 ELO iSeries or Galaxy Tab (more RAM and better processor)
- Must be on the same VLAN and be able to communicate with the Activate devices
- Must configure the Server Application device's IP address on all Activate Devices for synchronization and check syncing
- Server Application allows multiple vendors per server device. It has not been tested, but should be possible.
- Server Application allows multiple Activate devices to be synchronized to one server device. Limits have not been tested, but the suggestion is 10-12 devices per server application.
- Server Application allows many checks to be synced. Limits have not been seen in testing.
Table Service Mode / Full Restaurant Features
- Check Sync: User checks are able to be seen on all synchronized Activate devices by each PIN user.
- Manager Check Access (Full): All checks are able to be seen on all synchronized Activate devices by the manager. The manager is able to edit checks on behalf of the PIN user and the Manager icon is shown to identify manager access. The manager is able to Combine and Transfer checks on behalf of the PIN user.
- Transfer Check: Users are able to transfer a check to another user with Admin authorization.
- Combine Check: Users are able to merge/combine any two checks and make 1 new check.
- Pre-Print Check: Users are able to apply discounts and fees to a check and save for guest presenting of check.
- Split Check by Seat: Users are able to split a check and have the items assigned to each seat automatically split into individual checks
Restaurant Mode / Quick Bar / Limited Features
- Check Sync: User checks are able to be seen on all synchronized Activate devices by each PIN user.
- Manager Check Access (Full): All Checks are able to be seen on all synchronized Activate devices by the manager. The manager is able to edit checks on behalf of the PIN user and the manager icon is shown to identify manager access.
Check Sync / Server Application
- Server Application APK to be deployed via Elo View.
- Launch the Server Application by selecting Server.
- Need to note the Server Application's IP address. This is displayed in the top right once logged in.
- ActivateTSR version to be deployed via Elo View on all Activate Devices.
- Configure the Server Application device's IP to all Activate Devices by tapping the cogwheel prior to Vendor login, entering the IP address, and then tapping Save.
- Note that you must leave the preceding ws:// and the proceeding: 1235 and only change the 192.168.183.10 section.
- Once configured, the Server Application will display the devices connected.
- If the connection between the Server Application and any Activate Device ever loses connection with one another or if the internet connection is lost, an error will be displayed.
Manager Check Access
- If the PIN is set to be a Manager per Employee Role Setting, then a manager is able to log in and see all checks from all employees from the synced Activate Devices.
- The manager is able to access all synced checks and can edit (add items, print checks, and void items). The manager should be able to do actions that are allowed under the manager's own permission set and employee - the manager should be able to do such actions to all servers' checks.
- A manager icon is displayed for Manager Added items and Manager Voided Items.
Transfer Check
- An Activate user is able to transfer a check held by one user to another within the same vendor.
- Choose the check(s) to transfer. Multiple check transfers are available.
- Choose the user by scrolling or using the search.
- Confirm the transfer once the user is selected.
- Admin is always required to Transfer a check.
- Connection to the Server Application is required, and if the connection is lost, the user will receive an error.
Combine Check
- An Activate user is able to Combine two or more checks and create one new combined check for closing out with 1 single payment.
- The user will select the checks to combine. Users are not able to combine previously split checks.
- The user then will execute the combine process by selecting Combine in the bottom right.
- Once Combined, the new check will display all combined seats, signifying each table/check combined by letters A for the first table and so on.
- You can find the original checks that were combined by going to Order Details.
Pre-Print Check
- An Activate user is able to apply discounts and fees to checks and have them save and be able to print on a guest presented printed receipt.
- Select the Check Actions tab within the check.
- Choose Add Discount/Fee
- Tap on Fee or Discount to bring up available order discounts.
- Tap on the item to bring up item level discounts.
Split Check by Seat
- An Activate user is able to split a check so that checks are automatically created per seat and item assignment.
- Tap the Check Actions tab within the check.
- Tap Split by Seats.
- This will automatically split out checks by items per seat from the original check.
- The user is still able to move items around to different checks.
