Description: You can use the Transaction Screen in the HT-Retail system to process many different types of transactions, from adding items to the ticket to making the final payment and everything in between.
To access this screen, log in to the POS system and select POS either along the navigation bar at the top or in the center of the home screen options.
Scanning & Entering Barcodes
- Log in to the POS transaction screen and select the Enter SKU/Code box on the left side of the screen.
- Use the barcode scanner or manually enter the SKU for each item to add to the inventory.
Note: You must click on the box before scanning an item or the scanner will have no location within which to store the SKU. - If you scanned an item, the item’s SKU will appear in the Details section of the screen.
- If an item has no barcode, will not scan, or the scanned SKU is unrecognized, select [F5] SKU Lookup, or click the SKU Lookup button on the toolbar at the bottom of the window.
- Type in the Name, Department, or Vendor of an item into the Search Keywords box to help you find an item. Once you have located the item, double-click it to pull the item to the POS Screen.
Processing a Payment
Once all of the customer‘s items have been rung in, select the green Payment button at the bottom of the POS screen to complete the transaction. Upon selecting this button, the Process Payment window will appear. Within this window, you can view the Balance Owing and the A/R Available balance. Below that, there will be three columns labeled as:
- Payment Type
- Amount
- Reference
Select Amount field next to the applicable tender type the customer will be using
- If the customer is paying with exact change, you can press the Insert key to insert the exact amount owing into that payment field.
- Payment fields that require a reference or authorization number will have the reference field enabled such as Debit, Visa, and MasterCard.
Note: You can change, hide and add these payment types in the Setup section of your POS under General Settings, in the Payment Type Setup box.
Once you have inserted the payment into the correct payment field, press Enter. This will enable the complete transaction button. Select the Complete Transaction button to finish the transaction.
Split Payments to Different Tender Types
To split a payment into more than one payment field, insert part of the amount owing into one field and the remaining balance into another. For example. if the balance owing is 200.00, you could enter a partial payment of 150.00 into the debit field and then the remaining balance of 50.00 into the cash field).
Split Payments to Similar Tender Types
To pay with more than one of the same payment types (two debit cards, for example), enable the additional payment types using the Enable Special Payment Types button. This will allow you to use the drop-down fields at the bottom of the screen to enter additional payment methods and amounts.
Once the full amount of the purchase has been entered, complete the transaction as normal.
Quotation Transactions
A Quotation allows you to create a quote for the customer without making a sale. This quote will act as an invoice and provide the customer and yourself with information on what product(s) the customer desires to purchase. To make a quotation transaction:
- Add items and a customer to the ticket as normal.
- Select Payment to enter the payment screen.
- On the payment screen, select Quotation.
- Select Complete Transaction to finalize the quotation.
