Description: You can perform a Sales Return in three ways in the Harbortouch Retail system - either by Invoice Number, through Recall Transaction, or by changing an item to a negative quantity. In addition, you can ring up items to be exchanged within the same transaction. Learn more below.

Option 1: Return Items with Original Invoice
- On the right side of the screen, select the Miscellaneous Tab [F12] and select Shift-F4 Sales Return.
- At the top of the Sales Return window, enter the original invoice number by scanning or manually entering a number into the field labeled Invoice Number, then press Load Invoice.
- A listing of items in the original transaction will be displayed. Check the applicable items being returned, then select Finish, Go Back to Sale.
- Assign the customer to the transaction for accurate reporting and inventory tracking. To assign a customer, use [F6] Chg Customer to search or add a new customer. This is a requirement if Store Credit will be issued.
- The return amount will show in red with parentheses with the amount a customer is owed.
Option 2: Return through Recall Transaction
- To better filter the Recall Transaction results, it is recommended that you first add that Customer to the transaction by selecting them from the Customer Database.
- Once the Customer is added, then select [F3] Recall Trans.
- If the Customer was not assigned to the transaction, search by Transaction Date, Transaction #, or filter by Transaction Types. These options are all radio buttons found at the top of the Recall Transaction screen.
- Select the applicable transaction, then select Return Items.
- The Sales Return window will then populate:
- A listing of the items in the original transactions will be displayed. Check the specific items being returned, then select Finish, Go Back to Sale.
Option 3: Return as Negative Quantity - Use as a LAST RESORT ONLY!!!
- After logging in to POS, select either the Customer returning the item or use the default **Thank You** customer to proceed with the transaction window as a normal sale.
- From the Transaction screen, enter the SKU or code of the item being returned, as with a normal sale. Once you have entered the item, highlight it in the window, and then on the bottom screen, press [F9] Chg Quantity.
- The Change Quantity window will appear. Use the New Qty field to enter the quantity of the item(s) being returned as a negative number. Then press Make Changes to apply your changes.
- Process the payment as you would for any normal sale using Payment or the applicable Quick Launch button.
- The Payment window will pop up with a red negative number in the Amount Owing field, signifying that the Customer is owed that amount.
- Enter a negative payment amount into the field for the payment type you wish to use and click Complete Transaction to complete the return.
Exchanges
Process the return through one of the three steps mentioned above. In the transaction screen, ring all of the items to be exchanged. The negative quantity will then balance out with the sale/exchanged items. Proceed with payment as a normal transaction.
