Description: In the Hospitality system, each system user should be created as an employee, after which time you can assign them different jobs, PIN codes and restrict or grant them access to different features in the system.
Adding or Editing Employees
To add or edit employees, navigate to the Manager Screen > Employees, and a dialog box will appear:
- If you are creating a new employee, select New in the lower left of the dialog box.
- To edit an existing employee:
- Select their name from the list.
- Choose Edit in the lower-left corner of the screen.
You have the option to View All or View Active on the right side of the dialog box. Toggle this to show either every employee that has ever been entered into the system or show only currently utilized employees, respectively.
Once the desired additions or changes are complete, select OK. The newly defined Employee is now active and accessed by entering their PIN code on the login screen.
Changing the Order of the Employees List
You can edit the order of the listed employees by selecting an employee from the list:
- Use the Move Up and Move Down buttons on the right to change the location of the employee within the list.
- Select Move to Top or Move to Bottom to move the employee to either first or last on the list.
- Employees can also be alphabetized quickly by choosing the ABC button on the right.
Employee Options
On the Edit User Information and Security Privileges screen, you can fill in as much or as little information as you would like. The only required fields are:
- Screen Name
- Employee Name (Both a First and Last name should be entered to ensure accurate labor reporting)
- PIN Code
Once done, click OK at the bottom of the screen. You may also select Save as New to save the current job and immediately begin creating another job with the same options selection.

Assigning an Employee to a Job
To be able to utilize an employee within the Hospitality system, you must assign the employee to a job that you have already created in the system. To do this, navigate to the Manager Screen > Employees:
- Select the employee to who you would like to add a job.
- Select Edit in the lower left corner of the screen.
- Choose Jobs on the right side of the screen.
- Assign jobs to this employee by selecting jobs on the Jobs this user cannot perform and transferring them to the Jobs this user can perform side of the screen using the left and right arrow buttons.
- Press OK to return to the previous screen and save your changes.
- Press OK when complete to commit the employee.
Note: If you feel the need to edit the job after committing the job to the employee, you can either navigate to Manager Screen > Jobs or select Edit Job on the right side of the screen to edit the Pay and Overtime Pay Rate.
Hosp: Employee Settings
The Hospitality system includes 5 server cards per MID free of charge, and you may purchase additional ones. To program a server card for an employee, navigate to the Manager Screen > Employees:
- Highlight the desired employee, and select Edit in the lower left corner of the screen.
- Press Mag Card to open the dialog box.
- Swipe the card you wish to assign to the user through the MSR with the magnetic stripe facing you.
- Choose OK when complete.
Deactivating an Employee’s Account
If an employee is no longer working at your location, you may deactivate that user so their credentials will no longer be accessible in the system. You are unable to delete an employee from the system.
- To deactivate an employee, navigate to Manager Settings > Employees.
- Select the employee you wish to deactivate.
- Choose Edit in the lower left corner.
- Once on the edit screen, remove the checkmark in the box called Active,located next to the Screen Name.
- Select OK to commit the deactivation.
