Description: Learn to refund a transaction, add a tip, or adjust a tip on a credit card that has been batched out.
Note: Adjustments made on a previous day’s batch in Lighthouse Transaction Manager (LTM) must be manually adjusted in the Sales Journal in POSitouch to reflect these changes and avoid discrepancies between LTM and POSitouch reports.
Find a Post-Deposit Transaction
- Log in to the Lighthouse Transaction Manager account.
- Navigate to the Transaction tab.
- Select Current Transactions.
- Go to the search field and select Advanced Search.
Note: Quick Search only retrieves data from within the past 7 days. - Fill out the Main Search Criteria.
- Enter the last 4 digits of the card number.
- Enter the time frame or a date range.
- Checkmark Card number.
- Select Search.
- Select the invoice number of the card to edit.
- Once the transaction is on the screen, select Edit>Clone.
The cloned transaction will appear on the screen, enabling a refund of either the full amount or a partial amount. For example, if a $3 tip was mistakenly applied instead of $2 tip, a $1 credit can be issued. An additional amount may also be added—for instance, to apply a tip that was not originally included.
Issue a Full Refund of the Transaction
- To credit a transaction that has been cloned, place a negative sign before the amount and tip field and press the tab key.
The primary amount and tip will now show in parentheses (a negative number), and the total amount should reflect the amount of the credit. - Select Submit at the bottom of the page, and an updated Sales Draft will be displayed that can be printed if needed.
Issue a Partial Refund of the Transaction
To issue a partial refund to a cloned transaction, place a negative sign before editing the corrected primary or tip amount field.
In the following example, the Primary amount is set to zero, and the tip amount will be credited $1.00. It is good practice to ensure the total amount matches the credit to be applied.
- Select Submit at the bottom of the page, and an updated Sales Draft will be displayed that can be printed if needed.
Add a Tip to a Transaction
- To add a tip to a cloned transaction where no tip was originally included, enter 0 in the primary amount field and input the tip amount in the tip field, and press tab.
Important: If you are adding a tip, enter only the additional tip amount in the tip field. The original tip has already been charged to the card. - Select Submit at the bottom of the page, and an updated Sales Draft will be displayed that can be printed if needed.
Adjust the Sales Journal in LTM
Update the Sales Journal to reflect LTM adjustments made on a previous day.
Reflect a Refund on a Credit Card With or Without a Tip on the Sales Journal
- From the back office main menu, navigate to Sales Reports > All Sales Reports > Sales Journal Report.
- Enter the Starting Date and Ending Date and select Deposits.
- Select Continue.
- Select Overrings. (Take note of the Mastercard and Tips-Servers amounts prior to the overring.)
- Enter in Server and Cashier number. Type in the Amount, select the Payment Type from the dropdown, and enter Tips if applicable. Select OK.
- Notice the Mastercard amount is now $839.79, which includes tips. (The original Mastercard amount was $959.79 - $100 refund of sale - $20 refund of tip) The Tips-Servers amount is now -662.25. (The original Tips-Servers amount was -682.25 - refund of $20 tip) Select Save and Exit.
Reflect a Tip Added to LTM on the Sales Journal
- From the back office main menu, navigate to Sales Reports > All Sales Reports > Sales Journal Report.
- Enter the Starting Date and Ending Date and select Deposits.
- Select Continue.
- Select Tip Account.
- Select the Account to adjust from the dropdown, type in the amount of adjustment that was added in LTM, the Server and Cashier number, and select OK.
- Note that the Mastercard amount was increased, as well as the tips-server amount. Select Save and Exit.
