Set Up an Exclusive Team (servers on the team do not ring in non-team sales)
Set Up an Inclusive Team (servers are part of a team and also ring in individual sales)
Overview
The purpose of teams is to allocate sales and tips to a group of servers who work together as a team. When checks are closed, shares are allocated to the servers who are part of that team.
Each person is assigned “SHARES” of sales and tips, which must equal 100% once the team is created. The shares do not have to be equal between the team members, and the building of teams allows for the servers within the team not only to share sales and tips but could also include sales and tips that they generate on their own (they wait on their own tables in conjunction with a team waiting on other tables).
Back Office Settings
- From the Back office main menu, select Back Office Setup.
- Select User Privilege Codes > Assign Privileges 1-8.
- Turn on user privilege #64 - Manager Teams to allow groups to set up teams through the manager screen.
- Optional flag - User Privilege #123 - Check Teams allows setting up a team check from the View Edit screen. With this flag set, a TEAM button appears on the View Edit screen, allowing access to set up a team on a specific check.
- Optional flag - User Privilege #170 -No Access Team Checks will not allow any user groups with this flag set access to team checks.
- Optional flag - User Privilege #123 - Check Teams allows setting up a team check from the View Edit screen. With this flag set, a TEAM button appears on the View Edit screen, allowing access to set up a team on a specific check.
- From the Back office main menu, select Back Office Setup.
- Select Restaurant Misc Data > System 3.
- Optional flag: Set this flag to have the teams carry forward to the next business day. This is useful for sites that have the same teams working together daily.
Note: The manager can still change teams when needed.
Set Up an Exclusive Team
The term "Exclusive Team" refers to servers on the team who do not ring in non-team sales.
- Swipe the manager's card to proceed. Alternatively, a fingerprint scan or the manager’s number and password may be used.Then, press Manager Screen.
- Select Server Teams > Enter.
- Enter the server number of the team member and press Enter OR press SELECT SERVER (example below) to select team members from a list and press Enter.
- Select the server name to add to the team and press Enter. Continue with all members of the team.
- The team will default to equal shares for each member.
- To change the share that each server will be responsible for,select the server name and ENTER SHARES.
In this example, Daisy will be getting 2 shares, so the manager would press 2 and Enter. The remaining servers will not need to be changed, as the default is set to 1 share each.. - Press QUIT to save and exit.
Continuing with the previous example, Daisy now gets two shares of the sales 50% and the remaining two shares are split between the 2 remaining servers at 25% each.
Set Up an Inclusive Team
The term "Inclusive Team" refers to servers who are part of a team and can also ring in individual sales that are not part of a team.
- From the Back Office Main Menu, select Labor > Edit Employees.
- Create a team leader number who will be used to open team checks and pay team checks.When this user is added to a team, their shares should be set to 0.
- From the front of the house terminal, swipe the manager's card to proceed. Alternatively, a fingerprint scan or the manager’s number and password may be used.Then, select Manager Screen.
- Select Server Teams > Enter.
- Starting with the team leader user (Team 1), enter the user number of the team members and press Enter OR press SELECT SERVER to select team members from a list and press Enter.
- Select Team 1 user and press ENTER SHARES.
- Select 0 and Enter.
Important: This step will ensure that the Team 1 user does not share in the sales and tips of the team. - The shares will now be set equally between the remaining team members. The shares of the remaining team members can be changed by pressing the name and pressing ENTER SHARES. When done, press RETURN .
- Use the Team 1 user number (20 in this example), to ring in any team checks and pay any team checks. Employees ringing in checks that are not part of the team checks should use their own employee number.
- Team 1 has a check totaling $200.00.
- Randolph (also a member of Team 1) has a check totaling $50.00.
- Team 1 has a check totaling $200.00.
Understanding Team Only Cashouts
Server cashouts reflect only the portion of sales and tips each server is responsible for, based on their share in the team.
For example, server Daisy has 50% of the team shares. She prints her cashout after taking payment for a check with a total of $100.00 in sales plus tax. Although the full check total is $100.00, Daisy’s individual Sales + Tax amount shows $50.00 because the remaining portion will be shared with other team members.
Daisy’s cashout therefore reflects $50.00 in individual Sales + Tax based on her 50% share, while the Total Sales + Tax at the bottom displays $100.00 since she processed payment for the entire check.
The other two team members have 25% total shares each and their total sales + tax figure shows $25.00 which is their responsibility of the sales from that transaction.
Note: The bottom Total sales + tax figure is showing $0.00 because neither server shown below took payment for the $100.00 check.
Understanding Combined Team and Individual Cashouts
- A cashout of Team 1 shows 0 for total sales + tax under the sales summary (since Team 1 user had zero shares), but an amount of $200.00 under payment since Team 1 closed the check.
- A cashout of Randolf shows total sales + tax of$116.67 in the sales summary, since he has sales from his team check ($66.67)and his individual check ($50.00). His total sales + tax in the payment section is $50.00, which is the non-team check that he closed.
Understanding Server Sales and Tips Report
Server Sales and tips report displays the gross sales for each member of the team based on their shares, as well as their charged tip amounts based on their shares.
Common Issues and Troubleshooting
How can I see what teams have been set up?
- From the Manager Screen, go to Server Teams and press NEXT TEAM to scroll through any teams that have been set up.
How do I add additional teams?
- From the Manager Screen, go to Server Teams and press ADD TEAM to start creating a new team.
How can I delete a team member?
- From the Manager Screen, go to Server Teams and select NEXT TEAM to scroll to the team you need to change.
- Highlight the server and press DELETE to remove them from the team.
How can I get a list of the teams and their shares/percentages?
- From the Manager Screen, go to Server Teams and select PRINT to print a list of all teams and their associated shares/percentages.
