Description: The Echo POS system includes a Time Management feature that allows you to track the hours an employee has worked by allowing them to clock in, clock out, and take breaks at your discretion. Review a basic outline of these features below.
For more information on adding employees to the system, visit the Create and Edit Employees article.
Employee Settings
Within Echo, employees can clock in, clock out, take breaks, and view/print their shift reports. However, the employee must be created and enabled in the system before accessing these options. Use the Employee Settings section of the system to accomplish this.
Clock In
On the login screen, enter your 4-digit PIN using the number pad on the right.
Note: If this is their first time logging in for the day, this will also clock them in.
Breaks
If the Breaks setting is enabled, the employee can take breaks and log them for reporting.
Select the user drop-down and choose the applicable Break option (either Go On Break or Return From Break).
Shift Report
Choosing the Shift Report option under the user drop-down menu allows you to go on break, record any cash tips, clock out, and view/print your shift report. Clicking Back saves any changes you have made on the screen. If the employee has multiple jobs assigned, this will only display the reports for the job the employee is currently clocked in as.
Clock Out
When the employee’s shift is complete, select the user drop-down, and choose Shift Report. Once there, select Clock Out in the lower-left corner.
Manager Functions
Users with Administrator or Manager functionality can add, edit, delete, print, and view employee shifts. To perform these functions, log in to the system and navigate to Manager > Timeclock.
On the Time Clock window, you can view reports for the selected time and date parameters at the top of the screen or look at reports for a specific employee by selecting their name from the list on the left.
Clicking on a shift listed on the right allows you to edit, delete, view, print, or clock out an employee from their shift:
- Clock Out: ends the employee's shift and enters the time into the Clock Out box; the next time the employee logs in, it will clock them in for a new shift
- Delete Shift: removes the shift from the Time Management reporting
- View: provides a preview of the shift report that can be printed on this page
- Print: prints out a shift report from the local printer; this report will be the same one printed from the employee Shift Report screen
To create a new shift, select the employee you wish to edit and select Add Shift at the top right of the screen. When the Time Clock screen appears, tap the area you need to edit (i.e. Clock In time).
Ensure the date is correct on the calendar that appears, then choose the clock in the top right of the pop-up box.
Select the correct time that the employee either arrived or left for their shift. The hour and minute do NOT pertain to the number of hours the employee worked, but rather the time (for example, 11HR 11MIN AM is 11:11 AM). Then click OK.
Once you have entered all applicable information, press Save to commit the changes for the employee shift.
Time Management Settings
Within the Manager > Settings screen, select Employees to access the various settings for Time Management. On this screen, you will be able to choose whether or not you would like the system to track employee labor and record breaks (paid or unpaid).
Under Employee Setup you can set each employee's PIN. Each employee MUST have their own unique four-digit PIN to utilize the system. Toggle Track Labor to YES to track that particular employee's labor.
Under Job Setup, you can determine that job's specific labor restrictions. This includes allowing them to take breaks, view, print, and record cash tips on their shift report.
