Description: In QSR & Delivery, you can set up the Delivery Charge and Delivery Reimbursement for drivers using Zones. Zones are the most common method of setting up delivery because it allows you to designate various types of instances where the charge can be different (based on which Zones). Additionally, you can customize the reimbursement rate per zone as well.
- Setup the System to use Zones
- Set the Delivery Charge
- Set the Driver Reimbursement
- Change the Zone Name
- Assigning a Zone to a Customer
Note: There is one other method for setting up driver reimbursement using a straight value. For each delivery, regardless of amount or distance, the driver gets paid $X.XX dollars or it can be set up as a percentage per sale too. This article does not cover how to set this up but can be found under the System Settings for Drivers.
Setup the System to use Zones
Use Zones to configure different delivery charges and driver reimbursement rates. There are two settings we need to check under System and Station Settings to ensure Delivery Zones work correctly.
Station Settings > Delivery
- To change this setting, log in to the system and navigate to Admin > Config Tools > System + Station Settings.
- Under the Delivery line item, highlight UseZoneForDelivery.
- Press the Change Setting button to make sure that this is set to Yes.
Station Settings > Drivers
- To change this setting, log in to the system and navigate to Admin > Config Tools > System + Station Settings.
- Under the Drivers line item, highlight DrvReimOption.
- Press the Change Setting button to make sure that this is set to 1.
Set the Delivery Charge
Log in to the POS System, and from the Order Entry screen, press the Admin button and enter your PIN. Next, press Config Tools > Database Settings. Set the Delivery charge from the Zone tab:
- Click the Del Chrg box.
- .Enter Zone Value as a dollar amount which is the delivery charge
- What do you charge for Delivery in this zone?
- Click the green Complete button.
The image below shows a completed Zone setup for a $3.50 charge. However, the Driver Reimbursement is still set to zero. Proceed to the next step to set this up.
Set the Driver Reimbursement
To set up Driver Reimbursement, make sure you are still under Admin > Config Tools > Database Settings > Zones and highlight the appropriate zone:
- Click the Drvr Reimb box shown below.
- Enter the Driver Reimbursement Value dollar amount.
- Click the green Complete button.
Change the Zone Name
Zone names must be unique. Click the 'Enter Zone Name' box and enter the Zone Name. Examples are Zone 1, Zone 2, North Side, South Side, etc.
Zones get attached to customers. You can set up multiple zones as needed, charging different amounts based on the location of the delivery. The delivery charge automatically attaches to the delivery ticket (when the ticket is sent to delivery). The Driver Reimbursement is automatically added to the “Drivers Summary” screen for settling the driver reimbursement.
The screenshot below shows a $2 Delivery Charge attached to the ticket.
The screenshot below shows where to view Reimbursement and Tips on the Driver Summary screen.
Assigning a Zone to a Customer
The most common misconception with Delivery Zones is that the software automatically detects if a customer is in a particular zone based on the estimated driving distance. This is not the case; you must manually assign each customer a delivery zone if you want them to be in any zone other than the default zone.
On the customer screen, we can now set what zone a particular customer belongs to by clicking on Delivery Area. Once it's selected for this customer, they will remain a part of this zone unless it's manually changed, so we do not need to select the zone each time they call in.
