Description: Learn how to send an employee message, how employees view messages, and a few settings that adjust messages below.
Note: You are only allowed to send messages to employees if they are currently clocked in.
Send an Employee Message
To send an employee message:
- Log in to the system.
- Navigate to Admin > Send Employee Messages. This screen allows you to send messages to your employees.
- Once on the message page under the Compose Message header, place your cursor in the box. Enter the message you wish to send to all your employees.
- Press Enter when you are done typing your message.
- Choose the Message Type after entering your message. You cannot select the employees you want to send this to until the message type has been selected. The message types and their definitions are as follows:
- Immediate: Sends immediately to all selected employees
- All Day: Continues to show all day long
- Until Read: Dismisses after the message has been read
The “Change Status” refers to the type of message. This will always be set to ACTIVE by default but can be toggled to “IN-ACTIVE” if needed.
- The "Select Recipients" field will populate a list of your clocked-in employees.
- Use the Select All option if you wish to send it to all employees shown here, or select the employees one at a time to send the message to certain individuals.
Note: QSR does not support message groups; therefore, there is no way to send at the Job Level or Group Level, only at the individual employee level. - Choose the Message Properties and Settings. The options are as follows:
- Allow the employee to defer reading message: 1 Time, 2 Times, 3 Times, No
- Acknowledgement Required: Yes or No
- Acknowledgement (in sec) Button Delay: +5, +10, -5, -10
- Response Required: Yes or No
- Send Email Message: Yes or No
- Press the Send Message button at the top to send the message to the selected recipient list. You will see a “Message Sent” prompt for a short moment before it goes away once completed.
- Press the Exit button to leave the Send Employee Message screen.
How an Employee Views the Message
To view the message:
- Log in to the system.
- Select Time Clock on the Main or Order Entry screens to view the message. The message will pop up as soon as the employee enters their PIN on the time clock screen.
If you have set a Required Response on the message, the employee will see the following screen:
If you do not require a response to the message, the employee will see the following: - To dismiss the message, press the button that says I acknowledge that I have read this message at the bottom of the message box.
Employee Message Settings
There are three settings for Employee Messages located under Admin > Config Tools > System + Station Settings and with the Employees line item expanded.
- Auto Select On Immediate Messages:
You can choose the Message Type, which specifically targets messages marked “Immediate.” If set to "Yes," employees clocked in will automatically be selected underneath the Recipient List when the message type is set to "Immediate." - Default Message Acknowledgement Delay:
You can set up a time frame in which the message can be marked as acknowledged. The default is “0,” but you can customize this default setting to be any amount of time. - Employee Message Log Repeat Interval:
The user can set the amount of time in minutes that will need to pass before the “deferred message” will appear again for the employee. This message can be deferred up to 3 times.
