Description: QSR & Delivery (QSR) has a built-in House Account feature that allows the customer to store their balance in a House Account in order to pay for their order(s) at a later date. Review a variety of features relating to the House Account functionality below.
Manage (View, Edit, or Pay) a House Account
To view the list of outstanding house account balances and/or to pay off a house account:
- Log in to the system.
- Go to Admin > House Accounts.
- Manage (view, edit, pay or delete) House Account records from this screen.
- Choose the customer profile you wish to View or Pay.
- With the customer pulled up, check off the Check/Ticket to pay off. You can select more than one Check/Ticket in case the customer will be making a payment for more than one of their checks (if they have more than one charged).
- Select Pay Selected Accounts from the buttons at the bottom of the screen.
You may then pay off the House Account by whatever method of your choosing, just like taking payment for a regular sale. The House Account will remain outstanding until the full balance has been paid.
You may accept multiple payments if you have various charges you want to pay at once by selecting each charge from the customer’s house account profile.
Assign a House Account to a Customer
House Accounts are set up per customer profile in QSR and must be enabled by the user, so this needs to be done prior to proceeding with assigning the House Account option. Therefore, you must choose from one of the following steps to get started:
- Create a new customer profile
- or Choose from an existing customer
You are responsible for enabling the House Accounts feature on the customer’s profile because it comes turned off by default. There is a permission setting that prompts the user to enter their PIN when changing the House Account status of a customer.
- Log in to the system.
- Select Phone on the main screen. You can use the Customer Lookup feature to bring up the customer account.
- Under the Customer Edit screen, select House Account to toggle this setting between NO and YES.
- YES will enable this feature on this customer’s profile.
- NO will disable this feature, which will not allow this customer to charge anything to a House Account.
- Proceed with the order that will be placed onto their House Account. You can ring up the order as normal. Once you select Pay, the system will prompt if you want to apply the charge to the customer’s House Account.
- Select Yes to apply the charge to the account, and the ticket will be closed, and that customer will be added to the list of pending House Accounts balances/charges.
- Select No to continue to the Payment screen and take payment as any other sale.
This will not apply anything to the House Account unless you tell the system to do so.
