Note: Before using Table or Bar Service in QSR & Delivery, these service types must first be set up and configured. Refer to Table / Bar Service Setup to assist with setup before either of these features can be used.
What is Table / Bar Service?
Table Service and Bar Service are sections of the QSR software referred to as “Service Types.” Each of these Service Types should only be used to set up a table layout to run the business properly. As the software was designed for Quick Service, Table/Bar Service is the opposite and is still being developed. However, as of 1.0.7.014, Table Service is the most stable it has ever been and may be a valid option if you must use this.
When Should you Use Table/Bar Service?
Table Service is designed for merchants who offer sit-down dining restaurant environments. This means a server will wait on the guests, bring them their drinks, food, etc. Then, the server would provide the customers with their bill, and the tip left would be assigned to that server for the service provided. Table Service allows the individual servers to obtain a “server report” (much like Hospitality) which will log the tips they have received from their table service orders. However, any orders done outside of Table (or Bar) Service will not show up on this report.
Bar Service is designed for merchants who have a sit-down bar environment. This means you have a physical bar where guests may sit down and enjoy a drink and/or a meal and be waited on by a bartender or waitress/waiter. Much like Table Service, Bar Service will provide the bartender with a “server report” showing the tips received from orders entered for the Bar (or Table) service sections. Bar Service also adds the option for a “Bar Tab,” which is common in sit-down bars.
Using Table Service to Ring in Orders
First, you must set up Table Service layouts and Service Types. Once active, you will see the Tables button from the Main QSR screen.
To enter the Table Service section, where you can begin an order, you will be prompted to enter your PIN to access the sections/layouts. The PIN is important to log whom the Table/order belongs to for individual reporting purposes.
- Additional options are available for Managers using Manager Functions.
- To access the backend, press the Admin button.
- To access the Time Clock, press the Time Clock button.
When you enter the Table Service section layouts, the system will bring you to the primary layout (you can change this under Station Settings). The layout will be similar to the picture shown below.
Place an Order with Table Service
- Press on a Table to initiate the order process.
- Enter the number of seats, or people, for that table, then press Ok.
- Enter the order from the order screen as you normally would.
- You may want to change the Seat # associated with the items for proper tracking of the guests.
- Enter the items for the first seat as it defaults to Seat 1.
- Press the Seat button to change the seat.
- Select the next Seat position for the next set of items, then press Done to apply.
- Enter the order items for the seat you’ve chosen. You will see the Seat # to the far right of the items. Continue ringing in the order as you have been, applying the items to each seat until the order is completed. To change the Seat again, repeat the process, select the next seat, then press Done.
- When you are done, you must either Send or Pay for the order:
- Send & Print: Choosing this option will submit the order to the kitchen, commit the ticket, and print guest check copies at the Receipt printer.
- Pay: Choosing this option will submit the order to the kitchen, commit the ticket and prompt the server to make a payment on the check
- Send: Choosing this option will submit the order to the kitchen and commit the ticket.
Edit an order with Table Service
- Log in to the Table Service layout. If there are open tickets, the Table will display based on the color scheme defined at the bottom.
- Select an open table to edit. You should not be on the order screen; proceed to edit the check.
- When you are done, you must either Send or Pay for the order. However, you may press Cancel to return without making changes. If you decide to move forward, you'll have the following options:
- Send & Print: Choosing this option will submit the order to the kitchen, commit the ticket, and print guest check copies at the Receipt printer.
- Pay: Choosing this option will submit the order to the kitchen, commit the ticket and prompt the server to make a payment on the check.
- Send: Choosing this option will submit the order to the kitchen and commit the ticket.
Use the Table Service Screen
When you log in to the Table Service layout screen, a group of buttons at the top of the screen provide additional functionality. Use the breakdown outlined below to understand what each button is used for and how they may support the servers/managers during the order process.
View Report
Press this button to view a current copy of the Server’s report (for the Server logged into Table Service). You will need to enter a PIN because viewing reports is a permission setting.
Change Server
- Press this button, then tap a table to switch who the table server is (for reporting purposes).
- You will be prompted to select a new Server after choosing the table/check.
- The list of employees that show up can be customized underneath Admin > Config Tools > System Settings > Table Service.
If one server begins the order, but another waits on the customers, the tip will report to whoever is the ticket’s creator/owner.
Transfer Item
- Press this button, then tap the table you wish to move an item from. Then, select the item(s) you wish to move and press Transfer Items.
- Select the Table you wish to move the item(s) to. You will need to have already begun a ticket at that new table for this to work.
- Next, select Accept Transfer to finalize the migration of the item(s) from one ticket to another.
If everything migrated correctly, the system would advise you of this success with the following message:
Move Table
- Press this button, then tap the table you wish to move.
- Next, select the Table you wish to move the check to.
- You will be prompted to confirm the movement, select Yes to confirm.
Change Guest
- Press this button, then tap the table you wish to adjust.
- You will be prompted to adjust the number of seats (or persons).
- Enter the number of guests at the table, then press OK to apply.
Tip/Void Payment
- Press this button, then tap the table you wish to view the payment information for.
- If no payment has been made, the system will advise you to make payment first to add/adjust the tip.
- This screen is the same screen you see whenever you place a tip on a payment type. Here, you can view the payment received and add or adjust the tip.
Print Receipt
- Press this button, then tap the table to print a guest check copy.
- The guest copy will cut after each “seat.”
- This cannot be changed and is a feature of Table Service.
Section Name
- Tap the Section Name to switch to another section if you have programmed more than one for your Table Service layouts (i.e., Patio, Party Room).
- If there are no additional sections, then this will not show anything other than the current section.
- Bar Service sections do not show up under Table Service; therefore, you won’t see any Bar sections here.
- If it says “NO SECTION” here, this means Table Service was never set up.
Settle a Server after their Shift has Ended
You must settle every server before performing the End of Day function. Use the article listed below for information on how to manage the servers and settle their shift report.
- The Shift Report can be viewed periodically from the Table Service screen by having the Server log into Table Service and press View Report.
- Alternatively, any manager may view Server Reports from Admin > Server Summary throughout the day as well.
